Refund & Cancellation Policy

1. Scope of Policy

This Refund and Cancellation Policy outlines the financial terms governing advisory agreements, systems diagnostic audits, and retainer services executed with Systemaxisbase Consulting Co., Ltd. ("Systemaxisbase").

2. Milestone-Based Consulting Engagements

Our structured advisory contracts are segmented into sequential milestone phases (e.g., Phase 1 Discovery, Phase 2 Contract Modeling, Phase 3 Resilience Simulation, Phase 4 Handover).

• Uncommenced Milestone Phases: If a Client terminates an engagement prior to the formal initiation of an upcoming milestone phase, all advance payments allocated specifically to that uncommenced phase will be refunded in full.
• Active Milestone Phases: Once a milestone phase has commenced and architectural analysis, interviews, or schema modeling have begun, fees allocated to that active phase are non-refundable, reflecting dedicated consultant allocation.
• Delivered Artifacts: Upon delivery and executive walkthrough of formal documentation, architecture topologies, or audit reports, fees for the corresponding milestone are deemed fully earned and non-refundable.

3. Diagnostic Audits & Fixed-Scope Assessments

For fixed-scope diagnostic assessments (such as the 2-Week Integration Architecture Diagnostic):

• Cancellation > 5 Business Days Prior to Start: Full refund of any advance initial deposit, minus any documented administrative banking fees.
• Cancellation within 1 to 5 Business Days Prior to Start: Initial deposits are refunded at 50% to offset reserved practitioner scheduling.
• Cancellation After Discovery Kickoff: Non-refundable once technical discovery sessions or source analysis have commenced.

4. Strategic Architecture Retainers

Monthly architecture advisory retainers may be cancelled by either party with at least thirty (30) calendar days' written notice prior to the start of the subsequent monthly billing period. Unused retainer hours within an active billing month do not carry over to future periods and are non-refundable.

5. Rescheduling Policy

Clients may reschedule scheduled on-site discovery workshops or architectural sprint reviews up to two (2) business days prior to the agreed date at no penalty. Rescheduling requests with less than 24 hours' notice may incur an administrative rescheduling fee of NT$ 15,000 to cover travel and calendar reorganization.

6. Refund Request Procedure & Processing Timelines

To submit a formal refund or cancellation request:

1. Send written notification to info@systemaxisbase.click detailing the Statement of Work number and reason for cancellation.
2. Our finance desk will review the milestone completion status within three (3) business days.
3. Approved refunds will be processed via the original payment method (corporate bank wire transfer) within ten (10) business days.
